Top Tips for SMBs: How to avoid your mailbox getting full

Small businesses rely heavily on email as a main communication tool for and as a result of this, their mailboxes become full fairly quickly. Once a mailbox is full, any emails which are sent will be rejected and can affect productivity and more importantly future sales.

You can delete these one by one or to save time you can log into your email portal. At Claranet SOHO as with most email providers, when your mailbox becomes 90% full, you will receive a warning message which will advise you to free-up some space. Once logged in, you will be able to remove emails which you no longer need in bulk from the server. To do this, click “show all” for SOHO it’s at the bottom of the inbox, then scroll to the bottom of the page and click “Toggle all”. A “delete” option will then appear at the top of the page.

Please note: Once you delete your emails from the email server, you cannot retrieve them in future unless you have achieved them.

Four top tips on keeping your mailbox under control:

Archive older items: Move old items which you want to keep to an archive, decide which items to archive when, and where to store them.

Empty your Deleted Items folder: Empty your Deleted Items folder regularly to make sure that you are not keeping emails which you don’t need.

Empty your Junk Email folder: Empty your Junk Email folder so that you have space for emails which you want to keep.

Store attachments outside your mailbox: attachments can take up a lot of space in your mailbox so you should save any which you want to keep. Delete the email or delete the attachment off the email to save space.
